The problem
Staff cannot answer the phone while they are with a client — which, for an appointment-based business, means the phone goes unanswered for most of the working day. Every unanswered call is a slot that was never booked.
Calling back is usually too late. People who call want the appointment confirmed there and then; that is why they chose to call. Voicemail and web forms recover very little of this.
What we provide
We configure IVRy, the phone answering service operated by IVRy Inc., around how each business actually runs. Most of the work is in the specifics: the menu of services, how long each takes, how requests for a particular member of staff are handled, and the cancellation terms — translated into the call flow and the words the system speaks.
Deployment is not the end of it. We review call records after go-live, find the enquiries being missed and the responses that read badly, and adjust. We also handle configuration changes for busy periods and help establish how calls are handed over to staff.
The tool itself can be bought directly by the business. Support is worth paying for because translating an operation into a call flow, and continuing to correct it against real recordings, is where the effort actually lies.
Who it is for
Primarily businesses where a high share of bookings arrive by phone and staff cannot answer during treatment: osteopathic and physiotherapy clinics, hair and barber shops, nail, lash and beauty salons.
Size is not a constraint. We work with single locations.
